Who is responsible for your data

The controller for the personal data described in this policy is Menorca Yacht Rental, the brand operating menorcayachtrental.com and the charter service it advertises. For any question about this policy, or to exercise any of the rights described below, write to [email protected]. That inbox is also where booking and quote questions are handled, so it reaches a real person on our team quickly.

Information we collect and its source

We collect personal data directly from you, and a small amount of technical data automatically when you browse the site.

  • Enquiry form: name, email, phone number if you give it, the yacht you are interested in if you picked one, your proposed charter dates, number of guests, your message, and the page you were on together with the site or search engine that referred you.
  • Direct contact: anything you tell us by email, phone or WhatsApp when discussing a charter, a quote or a booking.
  • WhatsApp click record: when you tap a WhatsApp button on the site, we log the page you were on, the referring site, the site language and the pre-filled message text in our booking system before WhatsApp opens. The chat that follows takes place on WhatsApp itself.
  • Server logs: standard technical entries (IP address, time, page requested, browser) generated automatically by the hosting infrastructure for security purposes.
  • Visit measurement: our own in-house counting script, running on menorcayachtrental.com, notes which pages you viewed, time spent, the referring website, any campaign tag in the link, device type, browser, operating system, screen size, browser language and a country derived from your connection; your IP address itself is not stored by this tool. If you then send an enquiry or tap a WhatsApp or phone link, that action is linked to the same visit so we can see which channel brought you to us.

Why we use it and our legal grounds

We process your data for the following purposes, each resting on a specific legal basis under data protection law:

  • To answer your enquiry and prepare a written quote — this is a pre-contractual step taken at your request.
  • To confirm, organise and deliver a booked charter — performance of the contract once a booking is confirmed in writing.
  • To keep the site and our systems secure, and to understand which pages and channels bring enquiries — our legitimate interest in running a reliable, well-functioning booking channel.
  • To issue invoices and keep accounting records — a legal obligation imposed by Spanish tax and commercial rules.

We do not use your data for automated decision-making, we do not sell it, and we do not send marketing emails unless you specifically ask us to.

Who receives your information

Access to your data is limited to what each recipient needs to do their job:

  • Our own team, who read and answer enquiries through an internal messaging tool connected to our booking system.
  • The captain or skipper who will actually run your charter, once a booking is confirmed, so that the right crew member has your details, dates and guest numbers.
  • Our hosting provider, which stores the website and the booking records on our behalf.
  • Google, which serves the web fonts used on the site and receives the visitor's IP address as a technical consequence of loading them, and jsDelivr, which serves the phone-number input library used in the enquiry form. Neither sets cookies for us.
  • WhatsApp, operated by Meta, if you choose to start a conversation with us through the WhatsApp button. That conversation runs on WhatsApp's own platform, under the privacy terms Meta publishes for that service, from the moment the chat opens.

We do not share your data with anyone else, and we never sell it.

Guest names for crew lists and port authorities

Once a charter is confirmed, Menorca Yacht Rental may need the full names of all guests on board, and sometimes nationality or identity document details, to prepare the crew list required by Spanish port and maritime authorities. This is a standard requirement for any crewed charter sailing from Menorca's ports and is necessary so the boat can legally depart with you aboard; we only request what the authorities actually require and use it solely for that purpose.

Transfers of data outside Spain

Most of the services we use to run the site and answer enquiries are based within the European Economic Area. Where a service provider such as Google or Meta processes data outside the EEA, that provider applies its own safeguards, such as the European Commission's standard contractual clauses, to keep the transfer lawful. We do not otherwise send your personal data outside the EEA.

How long we keep your data

Enquiries that do not turn into a confirmed booking are kept for 12 months and then deleted. Once a charter is booked, the related records are kept for as long as Spanish tax and accounting rules require us to retain invoicing and commercial documentation. Server logs kept for security purposes are retained only for a short period before being overwritten. The browser-stored identifiers described below expire or are removed automatically as explained in that section.

Cookies and browser storage

The site itself does not set cookies. It does use a small amount of browser storage:

  • A local-storage entry that simply remembers you closed the cookie notice.
  • A session-storage entry that remembers which yacht you clicked on, so the enquiry form can be pre-filled for you; it disappears when you close the tab or send the form.
  • A local-storage entry holding random visitor and session identifiers used for our own visit counting; it expires 30 days after your last visit and you can clear it at any time through your browser settings.

None of these entries contains your name, email, phone number or any other contact detail.

Keeping your information secure

Enquiry and booking data is held in our booking system and accessed only by the team members and crew who need it to handle your request or charter. The website is a static site served over a secure connection, and server-level logs are kept only briefly and solely for security monitoring. We limit what we collect to what each purpose actually needs.

Your rights and how to use them

Under the General Data Protection Regulation, Regulation (EU) 2016/679, known across Europe as the GDPR, together with Spain's Organic Law 3/2018 of 5 December, the national statute on data protection and digital rights, you can ask us to:

  • give you access to the personal data we hold about you;
  • correct it if it is inaccurate or incomplete;
  • delete it, where it is no longer needed for the purposes described here;
  • restrict or object to certain processing, including processing based on our legitimate interest;
  • receive the data you gave us in a portable, structured format.

To exercise any of these rights, email [email protected]. We answer within one month and may ask you to confirm your identity before acting on the request, to make sure we are speaking to the right person. If you are not satisfied with our response, you may lodge a complaint with the Agencia Española de Protección de Datos (AEPD) at www.aepd.es.

Children and changes to this policy

Our charters and this website are intended for adults making or enquiring about a booking; we do not knowingly collect personal data from children through the site. If we ever update this policy, for example to reflect a new tool we start using, we will publish the revised version on this page with its effective date, so you can always see the terms that currently apply.
